SUMMARY OF POSITION

The Proposal Coordinator will support the company’s business development efforts by coordinating the development of high-quality proposals. This position involves managing assigned portions of the proposal process, working closely with cross-functional teams, and ensuring the timely delivery of materials. The Proposal Coordinator will help maintain consistency in messaging, follow proposal guidelines, and support the production of accurate, well-organized deliverables. 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Assist in the development and preparation of marketing and pre-pursuit-related documents to promote company qualifications and capabilities, including pre-qualification packages, capabilities statements, sources sought, statement of qualifications, project descriptions, and staff resumes. 
  • Review RFPs and RFIs, help determine proposal requirements, and support the proposal process by gathering information from staff, preparing draft sections, and coordinating milestone meetings and reviews. 
  • Conduct preliminary and final quality assurance checks on materials, ensuring accurate grammar, adherence to compliance standards, and alignment with proposal strategies. 
  • Design impactful graphics, charts, and diagrams for pursuit efforts, business development, and marketing materials. 
  • Support the preparation, formatting, printing, production, and shipping of pursuit, business development, and marketing submissions, ensuring top-quality editing and formatting throughout. 
  • Participate in pursuit, business development, and marketing meetings, providing administrative and coordination support. 
  • Assist with maintaining pursuit and business development databases (e.g., Vantagepoint), including data entry, updating pursuit status, and organizing opportunity information. 
  • Research new business opportunities and assist with tracking potential leads. 
  • Ensure the security, integrity, and confidentiality of company data.

YOU WILL NEED

  • Excellent communication skills (verbal and written) in the English language.

  • Ability to quickly obtain essential and accurate information from various sources.

  • Excel in a fast-paced environment, with the ability to adapt swiftly to changing priorities and demands. 

EDUCATION & EXPERIENCE

  • 1-2 years of related experience in proposals, marketing, or administrative support (ACE industry experience a plus) 

MINIMUM QUALIFICATIONS

  • Strong proficiency in Microsoft Office Suite Software (Word, Excel, PowerPoint).
  • Strong writing, editing, and formatting skills.

PREFERRED QUALIFICATIONS

  • Experience in Adobe Creative Suite (InDesign, Illustrator, Photoshop, etc.) 
  • Experience with Deltek Vision or Vantagepoint databases.
  • Prior experience supporting proposals or marketing efforts in the AEC industry.

COMPENSATION

The hourly pay range for positions in New Jersey is $50,000 to $60,000, depending on education and relevant experience.
